5 signs your business has outgrown Excel

Mismatched balances, stock that never matches and three-day month-ends. Five clear signs it's time to move from Excel to an ERP.

5 signs your business has outgrown Excel

Excel is where almost every business starts, and for good reason: it is free, flexible and everyone knows it. But there is a point where the same spreadsheets that helped you grow start holding you back. Here are five signs you have reached that point.

1. One customer, two different balances

Sales has one sheet, accounts has another, and the recovery team has a third. When a customer calls about their balance, you get three different answers. In an ERP, every invoice and receipt posts to one customer ledger, so everyone sees the same number.

2. Stock never matches the warehouse

The system says 200 cartons, the godown has 160. Late entries, returns that never went back into the sheet and duplicate item codes slowly pull the numbers apart. An ERP links dispatch, gate pass and returns directly to stock, so the count stays right.

3. Month-end takes days

If your accounts team spends the first days of every month merging sheets and matching bank entries, your reports always arrive after the decisions were needed. With automatic posting and bank reconciliation on one screen, profit and loss is ready when you are.

4. Every branch runs its own file

Separate files per branch mean separate versions of the truth. Head office cannot see stock, sales or cash across branches without phone calls and emails. A multi-branch ERP gives you consolidated numbers, live.

5. The owner has to call someone for a number

If you need to call your accountant to know today's sales, receivables or stock value, the business depends on people rather than systems. An ERP dashboard puts those numbers on your phone.

What to do next

If three or more of these sound familiar, it is time to look at an ERP. Start with the modules that hurt most today, usually accounts and inventory, and add POS, HR or e-commerce later in the same system.
